      1st guest list

Who should be invited to the child’s birthday party?

The birthday child is the one who makes the decision. In our experience, parents prefer not to have a particular child there because they think that this one child always causes unrest in the group and they naturally want to avoid that. In most cases, however, this is unfounded. Leave the decision to your child and approach the situation calmly. If you manage to put your prejudices aside, you have already won. So: trust your child, don't try to influence their decision and, above all, trust yourself that you will get through the day with a positive attitude!

How many children should I invite?

You can steer things a little here. Your child may have a large circle of friends and wants to invite the whole class? Don't just ask them who they want to invite, but decide beforehand how many guests they "can" have. A very well-proven rule of thumb is: As many guests as the child is old. This is plausible and logical for every child. So say something like: "You are turning 5, so you can invite 5 children. Which 5 children are they?" Have them list them and write them down. This makes it concrete for the child and one part of the planning is ticked off.

      2. Date and duration: Optimal planning for the children's birthday party

Flexibility for the perfect day 📅

When planning a child's birthday party, flexibility is important. Consider whether the birthday party should take place on the actual birthday or perhaps on a weekend to avoid conflicts with school times or other activities. This can increase the anticipation of the special day even more!

The ideal time for children's birthdays

Typically, afternoon parties are ideal for children's birthdays. They offer enough time for games, delicious food and unforgettable moments. Whether you end the party with dinner or not depends entirely on your preferences.

Plan the party duration according to age

The age of the child is a key factor in planning a birthday party. For 3-year-olds, 1-2 hours of fun is enough, while older children (5 years and older) like to party for 2-3 hours. It is important to have a good mix of fun activities to avoid boredom.

      3. The motto: the heart of the party

The Power of the Motto 🌟

Every unforgettable children's birthday party begins with a great theme. It is the magical spark that ignites the children's imagination and sets the direction for the entire party planning. Whether superheroes, fairytale princesses or dinosaurs - the right theme makes the day special and unique.

      Unleash creativity

Use the theme as a creative guide for all aspects of the party - from decorations to activities. A well-chosen theme not only makes it easier to decide on party supplies and games, but also creates excitement and anticipation among the little guests.

The perfect time to choose a motto

It is ideal to decide on the theme about 3 weeks before the party. Children are known to change their interests quickly. A period of 3 weeks gives enough time for anticipation without making the risk of last-minute changes too great.

      Tips for Children's Birthdays

      4. Invitations: The starting signal for the anticipation

      The first impression counts! 💌

The invitation cards are like the flagship of the party. They set the tone and arouse anticipation among the little guests. Regardless of whether you make them creatively, design them online or buy ready-made cards - the invitations should be something special and fit the theme of the party.

Important information – clear and creative

Make sure to include all the important information: date, time, location and of course the party theme. If you want, you can also add a little note asking if the children should dress according to the theme. This will increase the suspense and make the party even more exciting for everyone.

Invitations as part of the motto

Use the theme of the party as inspiration for the invitation design. A pirate map for a treasure hunt, a glittery invitation for the princess party or a space map for little astronauts - there are no limits to creativity.

      time of distribution

It's ideal to send out invitations about two weeks before the party. This gives the guests' parents enough time to plan and confirm their attendance.

      5. Games: The highlight of every children's party

      Fun and action guaranteed! 🎲🎈

What would a child's birthday be without games? They are the heart of every party and ensure smiling faces and unforgettable moments. Whether they are classic games such as "pound the tail" and "sack race" or creative new ideas - the most important thing is that they are fun and involve all children.

      Age-appropriate game selection

The games should be appropriate for the children's age. Simple, short games are ideal for little ones, while older children also enjoy more complex games. Remember, the games should be designed to challenge the children, but not overwhelm them.

      alternation between activity and rest

A good mix of active and quiet games helps to balance the children's energy. After a wild game of catch, for example, a quiet craft project can provide the necessary relaxation.

      Preparation is key

Prepare the games in advance to ensure everything runs smoothly on the big day. Make sure you have all the materials you need and that you can explain the rules clearly and understandably.

The right games make a child's birthday party an unforgettable experience. With a little planning and creativity, the party will be a complete success that the children will talk about for a long time.

      6. Time planning: A perfect schedule for a child’s birthday party

      Timing is everything! ⏰🎉

Careful scheduling is the secret to a stress-free and successful children's party. A well-structured schedule will help you keep track of everything and ensure that everything runs smoothly.

      Finding the Balance

Alternate between active games and quieter activities to ensure a balanced celebration. Planning helps channel the children's energy and prevents boredom.

      Set milestones

Plan fixed times for highlights such as eating cake, playing games and opening presents. These fixed points structure the day and give you and the children orientation.

      Plan buffer times

Children are unpredictable - so always build a little buffer time into your plan. This way you can react flexibly to surprises and stay relaxed if something takes a little longer.

      Preparation is half the battle

Think in advance about what you need to prepare and when: When will you bake the cake? When will you decorate the room? Well-thought-out preparation saves time and nerves.

Hey Party is at your side

      7. Food and Drink: Creative and delicious ideas for children's birthdays

The star of every party – the birthday cake 🎂

A child's birthday without a cake? Unimaginable! But it doesn't always have to be an elaborate cake. Simple cakes or cupcakes can be beautifully presented with the right ingredients. For example, with the colorful Happy Sprinkles that we offer at Hey Party. These colorful sprinkles, which do not contain E171, liven up any cake and make it shine - suitable for any party theme.

      Versatile snack ideas

In addition to the cake, snacks are a must at every children's party. From mini sandwiches and vegetable sticks to fruit skewers - make sure you have a selection that is not only delicious but also fun. With creative ideas and a pinch of imagination, even simple snacks become a highlight.

      Drinks that inspire

Provide a selection of child-friendly drinks that not only taste good but also fit the theme of the party. Colorful straws or thematically matching cups make drinking a special pleasure.

      Healthy and delicious

Do you want to offer healthier options? No problem. Children love colorful food. Creatively arranged fruit and vegetables are always well received. With a fun presentation, healthy food is also enjoyed.

      Everything for your party

At Hey Party you will find everything you need for the culinary aspects of your party. From Happy Sprinkles to enhance your baked goods to tableware and decorations that make every meal an experience.

Make the child's birthday a celebration for all the senses

With a little creativity and the right products from Hey Party, the food at your child's birthday party will not only be a treat, but also a real eye-catcher.

      8. Party favors

Party favors come in different forms. They can either be sweets or small gifts as a souvenir of the party. Often a combination of both.
We often experienced that there were so many gifts that we wondered whose birthday it was: the guest or the birthday child?

That's why we say on this topic: don't put so much pressure on yourself.

A little something is nice, especially if it fits the theme. For example, a unicorn headband at a unicorn party or a pirate hat at a Pirate party ... (PS: we already have these party favors in these two boxes!)

A goodie bag with the children's names on it is always a good idea, because the children collect, paint or sometimes win something at the games. If they are doing crafts, this can be the goodie. The children can then keep everything in their bag. Simply hang it on a string with clothespins so that the children can access it at any time.

If you want to offer a gift, it doesn't have to be anything big. Lovingly chosen or homemade items are often worth more.

      9. Setup + Preparation: The day before

Start decorating the evening before the party. It's best to do this when the birthday child is already in bed. That way you can set up and decorate in peace. Get help with the preparations if you want. Everything goes faster in a team and you get in the mood for the upcoming party. If you can prepare some of the decorative elements beforehand, e.g. fluffing up pompoms, you can do this much earlier. That way, all you have to do on the day of setting up is hang them up. Balloons can also be filled with air early on (note: helium only lasts a few hours!). This is practical if you are setting up a balloon garland, so you can do everything step by step in your free time and without stress.

Prepare everything you can for the meal. Often you can pre-cut the food and package it well. The cake can also be baked in advance so that it only needs to be decorated on the day itself.

If the party is not on the actual birthday, you can still surprise your child with birthday decorations. Your child will certainly be happy to enjoy their birthday breakfast with all the decorations. Don't worry, the decorations (especially those in our boxes) are of such good quality that they stay beautiful for days and even weeks. So everything just stays up until the big party. Many people then wait until the celebration with relatives. So you have celebrated three times with the same decoration 💪

      10. Procedure on the big day: The celebration

The process on the big day itself

You have prepared everything, your schedule is written, the process is set. Now make the final preparations that couldn't be done in advance. Then you can get started.

A successful, happy start is the best way to get into the mood for a party. As soon as everyone is there and any presents they may have brought have been placed in a place of honor, everyone gathers together. A warm welcome and a fun game to start with, which gives people a bit of a laugh, gets the group going and is the best way to warm up.

The celebration continues with food, fun games and fun activities. As the birthday draws to a close, it is always a good idea to play a short final game. This signals to the children that the party is now coming to an end.

      No panic

A party program serves primarily as a framework. Of course, not everything can be planned and carried out in detail. During the party, you may notice that you had planned too much, that individual games take more time than you thought. Mothers and fathers who organize a party every now and then are of course not professionals who can remember everything straight away. Nobody expects that and none of the guests will mind if you have a big piece of paper ready with the games and activities written on it.

      Let us help you

There is no shame in not doing everything on your own. Just get help.

+1 Bonus tip: Document the celebration with photos and videos

In all the hustle and bustle, you often forget to take nice photos of the party. Maybe you have an instant camera? Then let each child take a picture, it's a great activity and if you announce that everyone will have a turn, there won't be any arguments. Or why not integrate a photo booth game? With masks and hats that match the theme, it's sure to be fun :)

Nowadays, everyone has a cell phone with a camera function at hand, and it doesn't always have to be a professional camera. You can also use your cell phone to make really cool videos and funny GIFS that you'll love watching again and again. Then you'll have wonderful memories of the great day!

A group photo is also a nice souvenir for the guests. Just let one of them Make several prints of the picture. You can then distribute these to the children after the party.

WE WISH YOU A WONDERFUL AND SUCCESSFUL CHILDREN'S BIRTHDAY 🎉
